This Privacy Policy explains how Verado AI ("we", "our", or "us") collects, uses, discloses, and safeguards personal information. We provide an AI-powered business operations platform for contractors and home service businesses. This Policy applies to two categories of individuals: (a) Clients (the contractor businesses we contract with) and (b) End Users (the customers of our Clients who interact with our AI agents and platform).
1. Information We Collect
From Clients: We collect account information, billing details, business operations data, and contact information (such as name, email, phone number, and company details) when you sign up for and use our services.
From End Users: When End Users interact with a Client's AI voice agent, SMS/text messaging, or web forms powered by Verado AI, we collect and process information on behalf of the Client. This includes:
- Call recordings, voice audio, and AI-generated transcripts.
- SMS/text messaging content and metadata.
- Contact information (e.g., name, phone number, email address, physical address) provided during interactions.
- Details regarding service requests, appointments, and other data entered into the unified CRM.
2. Call Recording and Communications
Call Recording & AI Voice Interaction: Calls made to or from our AI voice agents may be recorded and transcribed by AI for quality assurance, training, and service delivery purposes. Because our Clients operate in various jurisdictions, including "two-party consent" or "all-party consent" states, an audible disclosure regarding call recording is typically provided at the start of the call.
SMS/Text Messaging: We process text messages for automated follow-ups and missed-call text-backs. We adhere to TCPA compliance standards and support standard opt-in/opt-out (e.g., STOP) mechanisms.
3. How We Use Information
We use the collected information to:
- Provide, maintain, and improve the Verado AI platform and services.
- Process transactions and send related information, including confirmations and invoices.
- Enable communication between Clients and End Users via voice, SMS, email, and chat.
- Manage local SEO, Google Business Profiles, social media scheduling, and PPC ad campaigns on behalf of Clients.
- Send technical notices, updates, security alerts, and support messages.
4. Data Sharing and Subprocessors
We do not sell personal information. We may share information with third-party subprocessors to facilitate our services. These may include:
- CRM and telephony providers.
- AI and LLM providers (for voice AI, transcription, and conversational processing).
- SMS gateways and email service providers.
- Google (for Ads, Business Profile, and Analytics) and Meta/Facebook (for Ads and social media).
- Payment processors and hosting providers.
When we process End User data, we act as a data processor on behalf of our Clients, who are the data controllers. Clients are responsible for ensuring they have the necessary rights and consents to collect and share End User data with us.
5. Data Retention
We retain Client information for as long as the account is active or as needed to provide services. End User data (including call recordings, transcripts, and CRM records) is retained according to the Client's instructions or as required by law. Upon termination of a Client's account, data may be deleted or exported in accordance with our Terms of Service.
6. State Privacy Rights (e.g., CCPA)
Depending on your state of residence (such as California, Virginia, Colorado, etc.), you may have rights regarding your personal information, including the right to access, delete, correct, or opt-out of certain data processing. Because our Clients operate across multiple states, we assist our Clients in fulfilling End User rights requests. If you are an End User, please direct your privacy requests to the respective Client. If you are a Client, you may contact us directly to exercise your rights.
Note: As we primarily serve U.S.-based contractors, the GDPR is generally inapplicable unless services are directed at individuals in the European Economic Area (EEA).
7. Cookies and Tracking
On our marketing website (veradoai.com), we use cookies and similar tracking technologies to analyze trends, administer the website, and track users' movements. The data handled within the operations platform for Clients' End Users is treated with a separate, stricter scope focused solely on service delivery.
8. Children's Privacy
Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that a child has provided us with personal information, we will take steps to delete such information.
9. Security
We implement reasonable administrative, technical, and physical security measures to protect personal information against unauthorized access, destruction, or alteration. In the event of a data breach, we will notify affected Clients in accordance with applicable laws.
